Privacy and Cookie Policy

This notice explains how South West Media uses personal information and cookies in connection with its fight-video website and membership service.

1. Who controls your information

Ben Fitch, a sole trader trading as South West Media, is the controller for the information described here. Contact: admin@southwestmedia.co.uk.

2. Information we use

  • Account details such as username, email address, registration date and password hash.
  • Membership and transaction records such as plan, status, PayPal references, amount, currency and dates. South West Media does not receive your PayPal password or full card details.
  • Records showing which terms version was accepted and when.
  • Support messages and information you choose to send us.
  • Security and playback records, including the account, video, time, and privacy-minimised hashes derived from the IP address and browser information. The replacement system is configured to keep playback records for 90 days.
  • Cookie choices and, only if permitted, analytics information about use of the website.

3. Why we use it

  • Contract: to create and administer accounts, provide paid access, process cancellation requests and support members.
  • Legal obligations: to keep appropriate transaction, tax, consumer-rights and compliance records.
  • Legitimate interests: to secure accounts, prevent payment or footage fraud, investigate copyright misuse, maintain the service and understand aggregate business performance. We balance these interests against members’ rights.
  • Consent: for non-essential analytics or marketing where consent is the appropriate basis. Consent can be withdrawn.

4. Who receives information

We use suppliers where necessary to run the service, including PayPal for payments, IONOS/Plesk for server hosting and administration, SmugMug for video hosting, and WordPress/Automattic services used on the website. Optional analytics providers receive information only when enabled and permitted. Professional advisers, courts, regulators, law-enforcement bodies, rights holders or online platforms may receive relevant information where this is lawful and necessary to protect rights, meet an obligation or handle a dispute.

Some suppliers operate internationally. Where information is transferred outside the UK, we rely on the supplier’s applicable safeguards or another lawful transfer mechanism.

5. How long we keep it

We keep information only for as long as needed for the purposes above. Account and membership information is normally retained while the account is active and afterwards where needed for support, fraud prevention or legal claims. Transaction and contract records may normally be kept for up to six years after the relevant relationship or accounting period. Playback records are configured for 90 days unless evidence must be preserved for a specific security or legal matter. Backups expire according to the hosting backup cycle.

6. Cookies and similar storage

  • Essential: WordPress sign-in/session and security cookies, membership-access state, and swm_cookie_consent, which stores your cookie choice for up to 180 days.
  • Payment: PayPal may set cookies when its checkout features are loaded or used.
  • Optional analytics: these must remain off until you choose to allow analytics. The exact cookies can change when analytics configuration changes.

You can reopen at any time. Blocking essential cookies may prevent sign-in, membership access or payment features from working.

7. Your rights

Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability or objection to processing. You may withdraw consent where processing relies on consent. Some rights have legal limits, including where records must be retained.

8. Security and updates

We use access controls, HTTPS, account security measures, restricted administration and other proportionate safeguards. No internet service is risk-free. We may update this notice when the service, suppliers or law changes and will identify the update date above.
